The Administrative Assistant plays a crucial role in supporting the efficient operation of the ABA company by providing administrative and clerical assistance to the clinical, operational, and administrative teams. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Position Overview:
The Scheduling and Administrative Coordinator plays a critical role in supporting the operational efficiency and effectiveness of ABA Your Way. This position is responsible for coordinating scheduling logistics for therapy sessions, managing administrative tasks, and providing exceptional customer service to clients and staff.
Key Responsibilities:
Office Management:
? Manage the day-to-day operations of the office, including answering phones, responding to emails, and maintaining office supplies.
? Coordinate meetings, appointments, and conference calls for staff members.
? Organize and maintain electronic and paper filing systems.
Administrative Support:
? Provide administrative support to clinical and operational teams, including maintaining client records, updating databases, and generating reports as needed.
? Assist with billing and invoicing processes, including verifying insurance information, submitting claims, and resolving billing inquiries.
? Coordinate the collection and maintenance of required documentation, such as consent forms, treatment plans, and progress reports.
Scheduling Coordination:
? Manage scheduling logistics for therapy sessions, including coordinating appointment times, locations, and therapist assignments.
? Communicate with clients, caregivers, and therapists to schedule and confirm appointments, ensuring adherence to established schedules and protocols.
? Monitor and manage scheduling changes, cancellations, and rescheduling requests in a timely manner, updating records and systems accordingly.
Client Services:
? Serve as a point of contact for client inquiries, providing information and assistance as needed.
? Assist with intake procedures, including gathering client information and processing intake forms.
? Maintain client records and ensure confidentiality of sensitive information.
Team Collaboration:
? Collaborate with clinical, operational, and administrative teams to support cross-functional projects and initiatives.
? Communicate effectively with team members to ensure smooth coordination and execution of tasks.
? Coordinate and participate in team building events
Customer Service:
? Serve as the primary point of contact for clients, caregivers, and staff, providing responsive and courteous assistance to inquiries and requests.
? Address client and caregiver concerns or complaints promptly and professionally, escalating issues to appropriate personnel as needed.
? Build and maintain positive relationships with clients, caregivers, and staff to ensure a positive experience with [Company Name].
Qualifications:
? High school diploma or equivalent; Bachelor's degree in Business Administration, Healthcare Administration, Psychology, or related field preferred.
? Proven experience in administrative support roles, preferably in a healthcare or related field.
? Previous experience in scheduling coordination, administrative support, or customer service roles, preferably in a healthcare or therapy services setting.
? Knowledge of Applied Behavior Analysis (ABA) therapy principles and practices preferred
? Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software applications.
? Ability to work independently and collaboratively in a fast-paced environment, demonstrating flexibility and adaptability to changing needs.
? Excellent organizational skills and attention to detail.
? Strong communication and interpersonal skills.
? Ability to multitask and prioritize tasks effectively in a dynamic environment.
? Commitment to maintaining confidentiality and professionalism in handling sensitive information.
? Bi-lingual required
